Laravel & PHP business systems

Custom Laravel and PHP systems for Malaysian SMEs: portals that encode how your team works, with roles, records, approvals, reports, and integrations, instead of spreadsheets passed around by email.

Signs you need a system, not another spreadsheet

  • Several people edit the same spreadsheet and nobody is sure which copy is current
  • Deadlines such as permit expiries, renewals, or invoice due dates are tracked by memory
  • Monthly reports take days to compile by hand
  • Staff need different access levels, and the spreadsheet cannot enforce them
  • You need an audit trail of who changed what, and when

Spreadsheets vs a custom Laravel system goes through these signs in more detail, including when a spreadsheet is still the right tool.

Published systems

  • BukuCloud Accounting System: cloud accounting for Malaysian SMEs built with Laravel, Vue.js, PostgreSQL, and Tailwind CSS. General ledger and journal entries, invoices with PDF output and email follow-ups, customer records with transaction history, balance sheet, profit and loss, and cashflow reports, and a dashboard with overdue alerts.
  • Foreign Worker Management System: a secure PHP and MySQL portal for employee records, permit tracking with countdown alerts, encrypted document storage for passports and visa letters, a compliance dashboard, and role-based access for operations staff and auditors. Scheduled cron jobs flag renewals before they lapse.

What a system build usually covers

  • User accounts, roles, and permissions matched to your organisation chart
  • Records and forms for the things your business tracks: customers, staff, jobs, stock, permits, invoices
  • Approval steps and status changes, with notifications by email or WhatsApp link
  • Reports and dashboards, with export to Excel or PDF
  • An activity log for audit and troubleshooting
  • Import of your existing spreadsheet data, cleaned and checked
  • Integrations with payment gateways, accounting tools, or your website
  • Backups, HTTPS, and server hardening before launch

Build in phases

The first release covers the workflow that hurts most, gets used by real staff, and is adjusted based on that use. Later phases add the next workflow. This keeps the first quote smaller and avoids building features nobody uses. Each phase has its own written scope.

Existing systems

If you already have a Laravel or PHP system that is hard to change, slow, or no longer supported by its original developer, it can be reviewed first. You get a written assessment of whether to fix, extend, or replace it, before any quote.

What to prepare

  • A list of the people who will use the system and what each of them needs to do
  • The spreadsheets, forms, or tools it will replace, with screenshots if possible
  • The reports you need weekly or at month end
  • Any rules that must be enforced, such as approval limits or expiry reminders
  • Systems it must connect to, such as accounting software or your website

How a project runs

  1. Discovery. Goals, users, constraints, and the workflows that must work on day one. Send what you have on WhatsApp or the quote form; a short call follows if the scope needs it.
  2. Scope and quote. A written, custom quotation with assumptions and exclusions listed. No fixed packages, so you are not paying for pages or features you do not need.
  3. Build and launch. Work happens on a staging copy you can review before anything goes live. Launch includes redirects, analytics, and a final check of forms and payments.
  4. Support. Handover of every account and credential, plus maintenance, security checks, and backups if you want them after launch.

What you own at the end

The domain, hosting, admin accounts, and code are registered to your business, not to the developer. You get the logins on handover, so another developer can pick the project up later if they need to.

Frequently asked questions

How much does a custom Laravel system cost?

It depends on the number of workflows, user roles, reports, and integrations. Every system is quoted individually after those are clear, and building in phases keeps the first quote focused on the most important workflow.

Can you import our existing Excel data?

Yes. Spreadsheet data is cleaned, mapped to the new structure, and imported, with a check of the results before the old file is retired.

Where is the system hosted?

On a cloud server or hosting account in your business name. The choice depends on expected users, data size, and your budget, and is explained in the scope.

Do you build mobile apps as well?

Systems are built as responsive web apps that work in a phone browser, which covers most staff use without the cost of separate app-store apps.
